Zoho One has introduced a new feature called Spaces, aiming to improve how businesses interact with their digital tools. The update reorganizes the platform into three main categories: Personal Space for everyday productivity tools like Mail and Calendar, Organization Space for collaboration platforms such as Feeds and Forums, and Functional Spaces that display role-specific applications depending on each user’s responsibilities.
Spaces is designed to present users only with the applications relevant to their roles, reducing unnecessary clutter. “What makes this approach revolutionary is its contextual intelligence. While Personal and Organization Spaces are available to everyone, Functional Spaces appear based on your specific role. This means no more wading through irrelevant applications, your workspace understands who you are and what you need.”
Users can choose from three navigation styles—Top Navigation, Side Navigation, or Compact Navigation—to suit their preferences. There is also a Tools panel for accessing additional applications quickly or promoting frequently used ones.
A new feature called Boards groups related tools together contextually, making it easier for users to find what they need without searching across different products. For example, notes and task modules from various Zoho products are organized in one place.
Other updates include Dashboard 2.0 for improved data visualization across multiple apps and QuickNav for centralized search using a shortcut key. The Action Panel consolidates tasks and approvals into daily or weekly digests while streamlining workflows across supported Zoho applications.
Businesses using third-party software can now integrate those tools directly within Zoho One through Web Tab Integrations, minimizing disruptions from switching between tabs. A Unified Status Availability tool lets users manage their availability centrally so teammates know when they are accessible.
